Terms of Service
Effective November 8, 2026
1. The agreement
These terms are a contract between Restoration Focused, LC ("we", "us"), the company behind the Chief of Staff sales platform at coscrm.io and app.coscrm.io (the "Service"), and the business that opens a workspace ("Customer", "you"). By creating a workspace, accepting an invitation into one, or using the Service, you agree to these terms on behalf of yourself and, if you act for a company, that company.
The Service is for businesses. It is not offered to consumers or to anyone under 18.
2. The Service
Chief of Staff is a sales CRM in which software agents do the record keeping. Reps speak or write; the Service transcribes, files, researches, drafts, and schedules. Its inputs are voice memos, voice conversations with an AI assistant, connected email and calendar accounts, and files the Customer uploads. Its outputs include account records, timelines, schedules, research summaries, drafted emails, and calendar events.
The Service includes, and these terms cover: the web application at app.coscrm.io, the marketing site at coscrm.io, the voice assistant line, data enrichment features that spend credits, and the platform console we operate for support.
3. Accounts and workspaces
A workspace belongs to the Customer. The person who creates it becomes its owner and can invite teammates, assign roles (admin, manager, rep, viewer), suspend users, and ask us to delete the workspace. Whoever holds the owner or admin role speaks for the Customer in dealings with us.
Every person uses their own sign-in. Account holders must keep passwords confidential, must not share accounts, and must tell us promptly at [email protected] about any suspected unauthorized access. The Customer is responsible for what happens under its users' accounts.
4. Connected Google accounts
Each user may connect their own Google account. The connection is personal: one user's mailbox and calendar are never read through another user's connection. With that permission, the Service reads email to keep account timelines current, sends email the user has individually approved from the user's own address, reads the calendar to answer questions and prepare the day, and creates calendar events on the user's instruction. The Service never edits or deletes existing calendar events, and it never sends email without a human approving that specific message.
Our use of information received from Google APIs follows the Google API Services User Data Policy, including its Limited Use requirements, as described in our Privacy Policy. OAuth tokens are stored encrypted. A user can disconnect Google at any time in the app, which deletes the stored tokens.
5. AI features and the approval rule
The Service uses large language models and speech services to transcribe voice, extract facts, write drafts, answer questions, and hold voice conversations. AI output can be wrong. The Customer reviews AI output before relying on it, and outbound communication is gated by design: no email leaves the Service without a person approving that specific message, by tap or by explicit spoken confirmation on a voice call.
Voice calls with the assistant are transcribed, and transcripts are stored in the Customer's workspace so the assistant has continuity between calls. Users should not share another person's sensitive personal information on these calls.
AI processing is performed by the third-party providers listed in our Privacy Policy. Prompts and relevant workspace content are sent to those providers to produce the output; we do not permit them to train their models on Customer data.
6. Customer data
The Customer owns its data: accounts, contacts, timelines, memos, transcripts, uploads, and everything derived from them for the Customer's use. We get a limited license to host, process, transmit, and display that data solely to provide and secure the Service and to meet legal obligations. We do not sell Customer data and do not use one customer's data to benefit another.
Admins can export workspace data at any time. On deletion (section 10), data is removed from live systems within the stated window and from backups as those age out on the backup schedule.
Aggregated, de-identified usage statistics that cannot identify the Customer or any person may be used to improve the Service.
7. Subscriptions, credits, and billing
The Service is sold per user per month at the prices shown in the app or quoted at purchase. Plans include a monthly allowance of data credits; research and contact enrichment spend credits at the rates shown in the app, and additional credit packs can be purchased. Credits reset or expire as described at purchase and carry no cash value.
Fees are billed in advance, are non-refundable except where the law requires, and can change with at least 30 days' notice, taking effect at the next renewal. Taxes are the Customer's responsibility. If an invoice goes unpaid after reasonable notice, we may suspend the workspace until the balance is settled.
8. Acceptable use
The Customer agrees not to: use the Service to send spam or any email that violates CAN-SPAM or similar law; upload data it has no right to process; probe, overload, or interfere with the Service or evade its rate limits and usage ceilings; resell access or share logins; use the data enrichment features to build datasets for resale; use the Service for anything unlawful; or reverse engineer the Service except where the law allows it regardless of contract.
Outreach sent through a user's connected mailbox is sent by that user. The Customer is responsible for the content of its communications and for having a lawful basis to contact its recipients.
9. Disclaimers, liability, indemnity
The Service is provided "as is" and "as available." We disclaim implied warranties of merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that AI output is accurate, that enriched contact data is correct or current, or that the Service will be uninterrupted.
Neither party is liable for indirect, incidental, special, consequential, or punitive damages, or lost profits or revenue. Our total liability under these terms is capped at the amounts the Customer paid us in the 12 months before the claim. These limits do not apply to the Customer's payment obligations, either party's indemnity obligations, or liability that cannot be limited by law.
The Customer will indemnify us against third-party claims arising from its data, its communications sent through the Service, or its breach of section 8.
10. Termination and deletion
The Customer can stop using the Service at any time and can request deletion of its workspace from inside the app or by writing to [email protected]. We may suspend or terminate a workspace for material breach of these terms (with notice and a chance to cure where practical), for non-payment, or where required by law.
Deletion runs on a 30-day recoverable window: for 30 days after a deletion request the workspace is disabled but restorable in case the request was a mistake; after that the data is purged from live systems, and backup copies age out on the backup retention schedule. On written request we will confirm when deletion is complete.
11. General
These terms are governed by the laws of North Carolina, with disputes resolved in the courts of Buncombe County, North Carolina. We may update these terms; material changes will be announced in the app or by email at least 30 days before they take effect, and continued use after that is acceptance. If a term is unenforceable the rest stand. These terms plus the Privacy Policy are the whole agreement.
